Business Proposal Template

A business proposal template is a reusable document that presents your solution to a prospect’s problem, explains your approach, shows pricing and asks for a decision, ideally with a signature block that turns the proposal into an agreement. A strong template keeps every proposal on brand and lets reps produce one in minutes instead of hours.

This guide covers the sections every business proposal needs, a pricing table example and how to generate proposals from your CRM and get them signed.

What is a business proposal?

A business proposal is a document sent to a prospective client to win work. It is not a marketing brochure. A good proposal is specific to the buyer’s situation and makes a clear recommendation.

There are two kinds:

  • Solicited proposals respond to a request for proposal (RFP) or a buyer’s request after a discovery call.
  • Unsolicited proposals are sent proactively to a prospect who has not asked for one.

Most B2B sales proposals are solicited, which means the buyer already expects pricing and a recommended approach.

Business proposal template structure

  1. Cover page. Proposal title, client name, your company, date and contact.
  2. Executive summary. The client’s goal, your recommendation and the expected outcome in three to five sentences.
  3. The client’s challenge. Their situation in their own words, from discovery notes.
  4. Proposed solution. What you will deliver and how it addresses each challenge.
  5. Approach and timeline. Phases, milestones and key dates.
  6. Why us. Relevant experience, team and differentiators. Use real, verifiable examples.
  7. Pricing. Clear options with totals, taxes and payment terms.
  8. Terms. Validity period, assumptions and a reference to the full contract or terms of service.
  9. Next steps. What happens after acceptance.
  10. Acceptance and signature. Signature block that turns the proposal into a commitment.

Example pricing table

EssentialsCore implementation, 2 integrations, email support$X one-time + $Y per month
ProfessionalEverything in Essentials, 5 integrations, onboarding training$X one-time + $Y per month

Offering two or three clearly differentiated options helps buyers compare value instead of debating a single number. Highlight the option you recommend.

Tips for writing proposals that win

  • Lead with the client, not your company. Your history belongs in “Why us,” not page one.
  • Mirror the buyer’s language. Use the terms and goals they shared in discovery.
  • Quantify outcomes where you can with honest estimates, such as hours saved per month.
  • Keep it short. Five to ten pages is enough for most deals.
  • Make pricing easy to understand. Show totals and payment terms.
  • Set an expiry date so the proposal does not stay open indefinitely.
  • Make it easy to say yes with an e-signature or online acceptance.

Common proposal mistakes

  • Generic copy and paste that mentions the wrong client or industry.
  • Pricing errors from retyping products and discounts from the CRM.
  • No clear recommendation, leaving the buyer to figure it out.
  • Missing acceptance step, which adds another round of back-and-forth.
  • No tracking, so reps do not know if the proposal was even opened.

Generate proposals from your CRM

Reps waste hours building proposals in Word or slides. A better process:

  1. Start from the opportunity in Salesforce, HubSpot or Dynamics 365.
  2. Pull the data: account, contacts, products, pricing and discovery notes.
  3. Assemble the proposal from approved content blocks for each product or industry.
  4. Apply approval rules for discounts and non-standard terms.
  5. Send for e-signature with an expiry date.
  6. Update the CRM when the proposal is viewed and signed, and move the deal to Closed Won.

AI can help too. Discovery notes can be turned into a first-draft executive summary that the rep reviews before sending.

Frequently Asked Questions

Noca | Business Proposal Template

What should a business proposal include?

A business proposal should include a cover page, executive summary, the client’s challenge, your proposed solution, approach and timeline, why your company is a good fit, pricing, terms and assumptions, next steps and an acceptance section with a signature block so the client can approve the proposal directly.

How long should a business proposal be?

Most B2B sales proposals are five to ten pages. Simple proposals can be shorter, while responses to formal RFPs are often longer because they must answer every requirement. Focus on what the buyer needs to make a decision and move supporting detail to appendices.

What is the difference between a proposal and a quote?

A quote lists products or services with prices and is usually short. A proposal explains the client’s problem, your recommended solution, approach, timeline and pricing, and makes a case for choosing you. Proposals are used for more complex or consultative sales.

Is a signed proposal a contract?

A signed proposal can be a binding contract if it includes the essential terms, such as scope, price and acceptance, and both parties sign. Many companies attach or reference their full terms and conditions so the signed proposal and terms together form the agreement.

How do I make my proposal stand out?

Personalize it to the buyer’s goals, lead with outcomes, keep it concise, offer clear pricing options, include relevant proof such as case studies, set a deadline and make acceptance easy with an e-signature. Fast delivery after the discovery call also makes a strong impression.

Can I automate business proposals?

Yes. Proposal automation tools generate proposals from CRM data using approved templates and content blocks, apply pricing and approval rules, send documents for e-signature and update the CRM when the proposal is opened or signed. This saves time and reduces pricing errors.
