What is Form W-9?
Form W-9, “Request for Taxpayer Identification Number and Certification,” is used by US persons, including individuals, sole proprietors, LLCs, partnerships, corporations and trusts, to:

- Certify whether they are subject to backup withholding.
- Certify US person status.
- Provide exemption codes, if they apply.
The W-9 is not sent to the IRS. The requester keeps it on file. Always use the current version from irs.gov/w9.

Yes. The IRS permits electronic submission of Form W-9 when the requester’s system meets certain requirements. In general, the electronic system must:
- Ensure the information received is what the person sent.
- Document every access that results in a submission.
- Make it reasonably certain the person signing is the person identified on the form.
- Provide the same information as the paper form.
- Include an electronic signature by the person whose name is on the form, with the jurat (perjury statement) included.
Requesters should review the IRS requirements for electronic submissions before switching to a digital W-9 process.
Security tips for sending a W-9
A W-9 contains your SSN or EIN, so protect it:
- Do not send W-9s as plain email attachments when a secure upload or portal is available.
- Verify the requester before sending, especially if the request is unexpected. W-9 phishing scams exist.
- Use secure forms with encryption.
- Only send it to companies that will actually pay you.
How businesses collect W-9s automatically
For accounts payable and procurement teams, chasing W-9s is a common bottleneck before the first payment. An automated process:
- Vendor receives an onboarding link with a secure online form.
- Vendor completes W-9 information in a guided form, including tax classification and TIN.
- Vendor signs electronically.
- A W-9 PDF is generated for your records.
- TIN matching can be run through the IRS TIN Matching program where eligible.
- The vendor is created in your ERP or accounting system with tax details.
- Missing W-9 reminders go out automatically.
Collecting W-9 data before the first payment avoids year-end scrambles when 1099s are due.

Who needs to fill out a W-9?

Independent contractors and vendors are commonly asked for a W-9 before their first payment.
Do I need to send my W-9 to the IRS?

What is the difference between a W-9 and a W-4?
A W-9 is used by independent contractors, vendors and other US persons to provide their taxpayer identification number to a payer. A W-4 is completed by employees so their employer can withhold the correct federal income tax from their paychecks.
